Credit memos, refunds as credit, and prepay packages
Give a customer documented account credit, return a payment either as money or as credit, and collect prepayments that draw down future invoices.
Where: Customer 360 (open a customer) -> billing actions; refunds under Money -> Payments & refunds
- To credit an account: open the customer, click Issue credit memo, enter an amount and a reason, and issue it. The dollars go to their credit balance and can be applied to a specific invoice or voided later.
- To sell a prepayment: open the customer, click Sell prepay package, enter the amount collected and any bonus credit. The full package credit is available immediately and automatically draws down future invoices.
- To refund a paid invoice: open Payments & refunds, find the invoice, and click Refund.
- Choose Money refund to send the card charge back through Stripe (it also flags any cash/check owed), or Refund to account credit to move no money and create spendable customer credit.
- Either refund choice closes the invoice and removes it from collected revenue.
Good to know
- Account credit moves no money - it's spendable on the customer's next bills. A money refund actually returns funds (via Stripe for card charges).
- Bonus credit on a prepay package can't exceed the amount collected.
- Credit memos are documented with a reason and can be voided, so your books always show why a credit exists.
