Billing & Invoices

Statements, AR aging, and the collections worklist

AR aging is money customers still owe you, grouped by how old it is. WaterMark puts the oldest balances first so you know where to follow up.

Where: Money tab -> Unpaid Invoices and AR Aging

  1. Open Money. Unpaid Invoices leads the workspace, with Ready to Bill directly after it; AR Aging stays farther down for balance age at a glance.
  2. Use Open collections worklist for every balance, or Chase 31+ day balances to open the same worklist already filtered to older accounts.
  3. Use Find never-opened invoices to jump to Unpaid Invoices with that confirmed receipt filter applied. Unknown view status is never labeled never-opened.
  4. Use Export AR aging for the real aging CSV you can open in Excel or hand to your accountant.
  5. For any customer, click Statement to view their account, or Email to send that statement with a pay link.
  6. Use Email everyone to send a statement to every customer who carries a balance, or select several rows and email just those.
  7. From a customer's statement you can also Download statement (PDF) for a chosen period - an accountant-ready file.
Good to know
  • A statement summarizes what a customer owes and has paid - email it with a pay link so they can settle online in one tap.
  • The worklist tells the difference between 'nobody owes you' and a failed load, so an empty screen really means you're caught up.
  • Sending a reminder or statement here uses email, which works today. Automated overdue text reminders only go out once SMS is enabled and approved for your account.
