Set up HOAs, portfolios, and parent accounts

When one client - an HOA, a property manager, or a portfolio owner - owns several properties, link them under a parent account and choose whether they get one bill or a bill per property.

Where: Customer editor -> 'Parent account' dropdown | Customers view -> 'Parent accounts' button (top right)

  1. Create each property as its own customer first.
  2. Open a property, click Edit, and pick the owner under 'Parent account (multi-location).'
  3. On the parent account itself, tick 'HOA / portfolio parent - bill ONE consolidated invoice' if they want a single statement.
  4. Save. Click 'Preview rollup' to see every property's open balance totaled up before you bill.
  5. When you're ready, click 'Generate consolidated invoice' to roll all open balances into one invoice - each source invoice is marked rolled-up so nothing is double-billed.
  6. Use the 'Parent accounts' button at the top of the Customers view to see every parent, its property count, billing mode, and open A/R in one table.
Good to know
  • Leave the consolidated-billing box unchecked to bill each property separately - the table labels this 'per property.'
  • Preview and Generate only appear after the parent customer is saved - create it first, then link the children.
  • If you run multiple yards or offices, the Branch / location field routes each account to the right crew - that's separate from parent-account billing.
