Connect QuickBooks Online (two-way sync)

QuickBooks Online is WaterMark's live, recommended accounting connection. Once you connect it, your customers, invoices, and payments flow both ways so your books stay current without double entry.

Where: Money tab -> QuickBooks panel

  1. Open the Money tab and find the QuickBooks panel below the daily invoice work and Get Paid Online.
  2. Click "Connect to QuickBooks" and sign in to your QuickBooks Online company when the QuickBooks window opens.
  3. Approve the connection; you land back on WaterMark and the panel shows "Connected to [your company]."
  4. Click "Push to QuickBooks now" to send your current customers and invoices over the first time.
  5. Click "Pull from QuickBooks" any time you want to import invoices and payments that were created inside QuickBooks.
  6. Leave it running: WaterMark payments and invoices push as they happen, and QuickBooks-created invoices and payments import back on a nightly catch-up.
When the sync doesn't look right
  • Start in Money -> QuickBooks. The tag and panel show not connected, Connected to your company, or Could not load QuickBooks status.
  • To refresh the authorization, click Disconnect and confirm, then click Connect to QuickBooks and approve the connection again.
  • If invoices push but get skipped, add an Item in QuickBooks first - QuickBooks requires a product/service Item on every invoice line. WaterMark tells you when this is the cause.
  • There is no single-invoice re-push control. After you correct the connection or Item, click Push to QuickBooks now; it retries eligible unsynced records.
  • Check /status for a current WaterMark service incident before disconnecting a working connection.
  • To choose where each kind of work lands in QuickBooks, follow "Choose income accounts for QuickBooks and Xero" in Help.
  • You must be an owner or a manager to connect or disconnect QuickBooks.
  • QuickBooks is production-approved and the connection WaterMark recommends. Use it before considering Xero.
