Record a payment or mark an invoice paid
When a customer pays you by cash, check, card, or bank transfer, record it against the invoice so your books stay right. You can record a partial payment or mark the whole balance paid in one click.
Where: Open an invoice, or a customer's billing section -> Record payment / Mark Paid
- Open the invoice (from the customer's record or your invoice list).
- For a full payment, click "Mark Paid," choose the method - Cash, Check, Card, or ACH / bank transfer - and confirm.
- For a partial payment, click "Record payment" instead, enter the amount, pick the method, and add an optional note like a check number.
- Save. The invoice shows Paid, or Partial with the remaining balance if it wasn't the full amount.
- If a customer overpays, the extra automatically becomes account credit you can apply to their next bill.
Good to know
- Marking an invoice paid cancels any open online card payment first, so a customer can't accidentally pay twice.
- Use the note field on a check payment (e.g. "check #1042") - it makes reconciling with your bank much easier later.
- Recording a payment here is for money you already collected; it does not charge the customer's card.
